Event - Lincoln 10k Road Race

Background
The prestigious City of Lincoln 10k Roadrace is held annually in the City and attracts up to 6,000 runners, including: International, National, Regional, Country, Club and Fun Runners , as well as a large number of spectators cheering on the runners.
The event, organised by the City of Lincoln Council Sport Development Team, is a very popular race for athletes of all abilities, The route takes in much of the historic part of Lincoln including the Cathedral and concludes within the grounds of Lincoln Castle.
Every runner receives a commemorative t-shirt and there are numerous excellent prizes for a variety of different age category winners.
As well as the adult 10k Roadrace there are also two other races which take place on the same day, they are the Primary School and Secondary School Races.
Brief
To provide various size Marquees for use, at the registration point, and the 'runners village' at the end of the race. The event is a one day event therefore the Marquees need to be on site and erected before 9am and removed from site at approximately 4.30pm.
Stage 1
After speaking to the client and giving a rough budget guide for the equipment required we decided to carry out a site survey. The position of the Mini Marquees were marked on a site plan and notes made as to the surface the Marquee would be used on to allow us to accurately quote for the correct accessories.
Stage 2
Once the quotation had been accepted the client was sent a 'Job Form' showing contact details for our assembly team as well as our planned arrival time on site. Approximately 1 week before the event the customer was contacted again to ensure everything was still as originally quoted and the set-up positioned etc had not been altered.
Event Day
Our assembly team arrived on site at 5.30am to begin set-up of the Mini Marquee at location 1. Once completed a member of our staff checked over the Marquee with the client and gave the relevant 'safety briefing' we moved onto Location 2. Our team used the site plan to ensure the Marquees were positioned securely exactly as requested. Again the relevant 'safety brief' was given to the users to ensure everything went exactly as planned. The site was completed before the 9am deadline.
At 4pm our team returned to both sites, after approval from the organiser of the event we were given the all clear to begin dismantle and clean up.
